Global Learning Support Officer
Reporting to the Manager, International Partnerships and Projects, the Global Learning Support Officer’s main roles are to provide administrative support for Global Engagement activities as well as provide a wide range of functions that contribute to the success of the International and Partnerships department’s goals and objectives.
Responsibilities:
The duties of this position include, but are not limited to:
Global Engagement Support
- Provides feedback to Managers regarding the refining of work methods and techniques to improve accuracy and efficiency within the departments to maintain a high level of customer service.
- Coordinates office administrative procedures and departmental communications systems. This may include assessing and implementing any improved systems/processes.
- Shares information and responds to inquiries from current and prospective students for short term programming
- Contributes to the operations of the International & Partnerships team by providing a wide range of administrative duties, including:
- Ensuring staff adherence to a wide variety of academic-related deadlines
- Assembling data and preparing reports on program activities and new initiatives, program proposals and reviews, and preparing submissions for various reporting requirements.
- Analyzing reports, and assisting with the implementation strategies.
- Representing the department on various task forces and committees as assigned.
- For short-term programming, documenting student and staff concerns and issues requiring attention and proactively assembling additional data to support the decision-making related to the issue.
- Data gathering, compilation, and organization for a variety of reports
- Travel planning support for the Associate Vice-President, Director, International Recruitment and Global Engagement, and Manager IP&P
- Reconciles purchasing card (PCard) expenses for managers and submits PCard documents to Accounting according to Mohawk College timelines.
- Responds to emails and phone inquiries pertaining to the Global Engagement activities
- Reviews staff expense claims for accuracy and completeness before submitting claims to Payroll.
- Liaises with Accounting and Payroll staff in regard to questions or revisions for expenses, such as account codes or purchase rationale.
Coordinating Outbound Global Partnership Projects
- Coordinating selection committee logistics for global learning projects including setting meetings, taking meeting minutes, communicating meeting information, ensuring committee project targets are being met.
- Triaging questions from faculty and staff around proposal process as needed.
- Keeping all partners and project stakeholders apprised of progress, questions, updates and concerns as needed.
- Keeping outbound trip team on track with project milestones.
- Compiling reports for international and project partners on outbound mobility targets, results, outcomes, etc.
- Keep process, waivers, proposal forms and website resources up to date.
- Ensuring post-trip reports and presentations are complete.
Trips Logistics
- Assisting with booking and managing trip logistics (e.g., flights, airport transportation, Guard me insurance) for Global Experience trips
- Managing trip budgets, and ensuring stakeholders are meeting budget targets
- Delivering pre-departure orientation sessions for trips abroad, including customized cultural programming and country specific advice for travelers
- Ensuring trip plans are completed by outbound travelers, and are logged/stored as necessary
- Ensuring any materials or supplies, as well as swag are purchased and distributed as needed
- Keeping trip guides, resources, and FAQs for travelers up to date
- Assisting with logistics for visiting international students (orientation, timetable, day-to-day support & comms.)
- Liaising with RO regarding transfer credit possibilities
Partner Tracking and Travel Funding
- Assisting with arranging meetings with potential partners – setting meetings, taking meeting minutes, compiling meeting outcomes
- Database upkeep for potential partners
- Preparing Mohawk teams withers information and background on partners in advance of conferences
- Checking back in on conference meeting outcomes and potential partnerships
- Research potential solution to manage partnership information
- Liaise with International Market Specialist team to gather insights on market opportunities
- Manage vetting intake forms for interested potential partners and projects
- Seeing out and completing grant applications for trips abroad
- Tracking budget, coordinating with Foundation to ensure transfers are completed
- Recommending funding models for global mobility trips abroad
Coordinating Student Inbound Programming
- Tracking program budget and expenses
- Supporting with creation of student and applicant communications and program guides and sending out communication in appropriate formats according to the audience
- Support on logistics planning and booking for program-related activities, including arrival day logistics
- Supporting the database management to support program-specific forms
- Liaising with external partner to coordinate program updates, initiate best practices and implement program changes as appropriate
Other duties as assigned.
Qualifications:
The successful candidate will have:
- 2-year diploma in Office Administration, Business Administration, Business General, International Business
- A minimum of three years related work experience. Applied knowledge/experience of ESL programs, international partnerships and College services is required.
- Practical experience in related field, preferably in a logistic/project coordinator environment with heavy emphasis on customer service, event coordination and systems.
- Working in an office environment with demonstrated problem solving skills.
- Working in a time sensitive deadline driven environment with an elevated attention to detail.
- Working independently and in a team environment.
- Ability to speak multiple languages would be considered an asset
- Working with databases and student information systems, preferably with Banner, or any relational database in a postsecondary education.
- Experience with computer applications, Access, Web
- Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
