Executive Administration Team
Executive Assistant to Vice Presidents
(Permanent Position)
Overall Responsibility:
Provide organizational and administrative support of a highly responsible and confidential nature to the Company Vice Presidents with minimal supervision.
Accountabilities:
- Anticipate and initiate appropriate action on behalf of the executive.
- Exercise a great deal of tact and integrity due to the frequent access of highly confidential information.
- Plan and carry out administrative duties pertaining to travel arrangements, meeting coordination, calendar management, special events coordination in addition to other ad hoc requirements.
- Develop, interact with and maintain an extensive internal and external network of contacts at all levels.
- Gather, organize and prepare special reports and presentations for high-level internal and external audiences.
- Ensure effective coordination of activities and flow of information amongst reporting departments.
- Standardize and implement improvements to office procedures within area specific departments as required.
- Provide appropriate vacation relief as required.
- Maintain strong organizational knowledge relating to the responsibilities and functions of different departments and key individuals.
- Manage site tours and special events.
Education and Accreditation:
- Minimum two-year College Diploma in Office Administration.
- 10+ years of job-related experience is required.
- Minimum two years experience working for Senior Level Managers in a large complex organization is required.
Knowledge & Skills:
- Working knowledge of corporate strategic/business plans is required.
- Working knowledge of general business practices is required.
- Strong ability to work in a team environment and work cross-functionally.
- Strong ability to be flexible/adaptable to changing workloads, supervision and job assignments is required.
- Ability to work in a fast-paced environment.
- General knowledge of global issues that impact the company is required.
- Excellent organizational and time-management skills are required.
- Excellent interpersonal and communication skills are required.
- Excellent problem-solving skills are required.
- Proven ability to manage complex schedules and respond to shifting priorities.
- Proficient in Microsoft Office suite.
Work Environment:
- Office environment.
- This position is required to be 100% onsite.
Hours of Work:
Days, Monday to Friday with extended hours as required due to period of peak workloads and project commitments.
