Sun Life’s Sustainability team is seeking an experience Executive Assistant who is self-confident, pro-active, and an innovative thinker who demonstrates a professional demeanour with superior organization and time management skills, solutions orientation, and the ability to handle a variety of responsibilities. The role is external facing, fast paced with multiple demands. It requires diplomacy, great relationship skills, a demonstrated regard for confidentiality, and a high level of judgment.
The incumbent will be responsible for providing efficient, high-quality, precise administrative support to two Vice-Presidents and, on occasion, the Senior Vice President, Chief Sustainability Officer.
What will you do?
- Manages all aspects of two VPs’ calendars to ensure meetings are prioritized with internal and external clients/business partners and vendors as appropriate. (VP, Sustainability & Climate Change, Strategy & Performance and VP, Sustainability Reporting & Disclosures)
- Effectively works with internal and external business partners and other EAs to schedule and coordinate meetings and Sustainability team events
- Helps ensure records management and file storage of important documents on SharePoint
- Proactively anticipates the needs of the VPs in a dynamic and fast-paced environment
- Coordinates meetings including compiling relevant information, coordinating with involved parties and ensuring follow-ups as required.
- Helps lead event planning (e.g., annual internal Sustainability Summit)
- Assists in the distribution of reports and internal communications
- Manages all travel arrangements and accompanying material for VPs
- Provides filing and the necessary record keeping
- Manages administrative budget work for VPs (e.g., expense reimbursements)
- Answers, screens and direct phones calls, responding independently and providing as much client service as possible
- Arranges and greets visitors
- Maintains contact with VPs via company-issued mobile device
- Provides back-up support to Chief Sustainability Officer as needed (vacation coverage, etc.)
- Assists other sustainability leaders with administrative support as needed
- Supports team operations as needed
- May perform other administrative duties as required
What do you need to succeed?
- A minimum of three years’ experience working as an Executive Assistant supporting senior leaders
- Proficiency in Microsoft Office Suite, including experience creating and editing PowerPoint presentations
- Experience arranging and supporting delivery of multi-day events incorporating on- and off-site activities
- Able to handle and maintain confidential company information
- Energetic self-starter who can take initiative and proactively problem solve using professional judgement
- Excellent verbal and written communication skills
- High attention to detail, demonstrating accuracy and thoroughness
- Ability to perform with professionalism and poise and make professional decisions
- Strong interpersonal skills to build relationships and work in a team environment with a diverse range of people
- Comfortable working independently as needed
- Excellent organizational and time management skills with an ability to prioritize and manage multiple tasks

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
