Why This Role is Important:
The Executive Assistant will provide litigation support and administrative assistance to the Heads of Legal and Compliance and Enterprise Risk. The Executive Assistant will be expected to effectively and proactively manage daily tasks and prioritize workload in collaboration with the Vice Presidents and other team members. You will be part of a dynamic customer-oriented team dedicated to providing efficient, high quality work in a collaborative and professional manner.

What You'll Do:
- Responsible for Calendar Management for including scheduling of all meetings, coordinating visits with internal/external contacts, booking appointments, making all travel arrangements, etc.
- Coordination of meetings, business communications, conferences and seminars as required (preparing agendas, catering, booking venues, developing agendas, coordinating invitees, set up, etc.).
- Prepare and coordinate materials for presentations (slides, agendas, minutes, etc.).
- Prepare correspondence (letters, memos, expense forms, communications, presentations, etc.) with a high level of accuracy in a timely manner.
- Review and respond to voicemails and emails on behalf of the VP and SVP, prioritize and forward as appropriate.
- Handle highly sensitive and confidential matters as part of daily administrative duties.
- Respond to and resolve general and confidential inquiries, working closely with other internal departments, as well as external contacts.
- Follow up and act as a liaison with various individuals both internally and externally, at all levels of the organization.
- Manage Legal, Compliance and ERM departmental administrative requirements.
- Coordinate and complete various special projects/assignments as required.
What You Bring:
- Previous administrative experience, minimum 3 years of executive level administrative support.
- Post-Secondary education in the form of an Executive Assistant Certificate or Diploma; experience supporting Legal functions or Law departments considered an asset.
- Advanced computer skills - Word, Excel, PowerPoint, Outlook and the ability to proactively manage Calendar.
- Ability to effectively communicate, both verbally and in writing, with a wide variety of people at all levels within the business.
- Ability to deal with sensitive business and employee information in a confidential and professional manner.
- Professional demeanor and able to quickly develop strong working relationships with executives within the business.
- Superior organizational and time management skills, with the ability to prioritize and multi task daily activities.
- Solid business writing skills with a strong attention to detail.
- Able to work in a highly organized manner where detail, accuracy, urgency and confidentiality are critical.
- Demonstrated ability to work effectively in a fast paced environment, and juggle multiple priorities.
- Strong work ethic and a team player.
- Strong interpersonal skills.
