POSITION OVERVIEW

Are you ready to use your talent and creativity to make a difference in the success of Canadian entrepreneurs? BDC is recruiting for the position of Coordinator, Visitor Experience and Event Marketing in our Vancouver office. As part of the External Communications team, the selected candidate is responsible for ensuring an exceptional experience for all our visitors and employees as well as coordinating the preparation and execution of marketing events and activities taking place in our brand-new, cutting-edge and inspiring work environment. As the host of the welcoming and event space, you will be working onsite to create a comfortable and inviting environment where people can achieve their goals while enjoying their time at the office.  

CHALLENGES TO BE MET

  • Oversee the coordination and delivery of a seamless visitor experience service offering as well as activities and event programming.

  • Demonstrate passion for guest experience by supporting day-to-day office operations and liaise with many different external and internal stakeholders and team members.

  • Ensure that documentation and procedures are maintained and improved to meet and sustain our established standards of service excellence and compliance with health and safety protocols.

  • Work cross-functionally to identify gaps in the day-to-day experience and define workspace priorities to manage internal requests for visitor and event space usage.

  • Identify opportunities to develop, implement, and scale tooling and resources to support the day-to-day operations activities.

  • Manage event requests and ensure they are assigned/followed up on according to the standards and deadlines established by the team.

  • Support the Marketing team with administrative tasks such as data entry, project coordination and various activities.

  • All other related tasks to ensure the delivery of our external communications activities and the smooth running of our day-to-day visitor operations.

What You'll Be Doing

Visitor experience

  • Welcome visitors to the office as the first point of contact.

  • Meet and greet employees and visitors in a professional and friendly manner.

  • Anticipate the needs of the office to help ensure a seamless positive experience.

  • Collaborate on the development and delivery of visitor experience service offering in Toronto office as well as activity and event programming.

  • Ensure that documentation and procedures are maintained and improved to meet and sustain our established standards of service excellence.

Event Coordination

  • Manage event requests and ensure they are assigned/followed up according to the standards and deadlines established by the Event Marketing team.

  • Support the Marketing team with administrative tasks such as data entry, projects coordination and various activities and projects.

  • Book and coordinate ad hoc meetings and activities for Toronto team members.

  • Develop creative initiatives to improve the employee experience of our team.

  • Plan and coordinate company meetings, fun office events and staff celebrations (Internal/External).

  • Track budget expenditures, maintain processes, and keep up-to-date budget forecasts.

  • Coordinate the management of expenses and efficiency of events and activities under your responsibility.

Office Management (Client and Event space area)

  • Be the first point of contact regarding the daily running of the client and event space in Toronto and liaise with key internal and external stakeholders (IT, Facility Management, etc.).

  • Monitor and ensure adequate levels of office supplies, and purchase gear for current and new employees.

  • Manage incoming and outgoing post, couriers, deliveries.

  • Calendar management for the meeting rooms requests in the client and event space and prioritize requests.

  • Work with Toronto office employees and team to ensure that all office spaces are well-maintained, including kitchen and meeting spaces.

  • Be the point of contact for any cleaning contracts/office maintenance/building insurance/security.

  • Manage security and employee access to the building and office according to BDC protocols.

WHAT WE ARE LOOKING FOR

  • Excellent time management skills.

  • Strong attention to detail and an ability to solve problems innovatively.

  • The ability to thrive in uncertainty, resolve ambiguity and think quickly.

  • Excellent written and verbal communication skills.

  • Bachelor’s degree in communications or public relations or equivalent.

  • Minimum of two years’ experience in event coordination or visitor experience.

  • Experience working in a Microsoft Office environment.

  • Experience in the financial sector or in business-to-business event marketing is an asset.
