The National Operations department at our Home Office in Toronto is currently seeking an Administrative Assistant Exhibition & LBE, reporting directly to the Executive Vice President Exhibition & Location Based Entertainment
What The Role Is:
Provide administrative support to the Executive VP Exhibition & LBE, Senior VP National Operations, and two VPs National Operations
Manage and maintain Outlook Calendars, coordinate travel, and complete expense reports
Coordinate onsite/offsite meetings and activities including Agendas, materials, AV, logistics, and catering
Oversee logistics and planning of an annual large-scale 3-day conference, including organizing events, venue coordination, managing budget and invoices, and connecting with Executive VP Exhibition & LBE and Senior VP National Operations, planning committee, and regional teams
Assist in coordinating schedule and logistics for annual Road Show and theatre visits throughout the year
Ensure Exhibition and Location Based Entertainment teams function cohesively and efficiently
Prepare expenditure documents, code invoices, and maintain related tracking
Handle time sensitive projects and confidential files, monitor and maintain timelines for projects and internal processes
Monitor departmental out of office/vacation schedules
Prepare correspondence, reports, and PowerPoint presentations
Manage mail/couriers and maintain files
What You Offer:
Five + years of experience as an Administrative Assistant with at least two years assisting at the Executive level
Intermediate to advanced knowledge of Microsoft Office and basic accounting skills
Intermediate knowledge of expense reporting and accounting systems
What Sets You Apart:
Be a self-starter with the ability to take initiative and work effectively in a team or independently
Have a demonstrated ability to manage effective communication and working relationships with head office, multiple remote offices and theatres throughout Canada
Be detail oriented, have excellent oral and written communication skills, and have demonstrated ability to manage conflicting priorities
Possess a strong guest service focus and have effective interpersonal and time management skills
Use discretion and judgment necessary to treat confidential items and assignments appropriately
Background in theatre management, retail or hospitality environments is an asset
Bilingual in French and English is an asset
