We are ready to take this game to the next level and need an enthusiastic Ancillary Services Administrator who will play a crucial role in ensuring the smooth operation of support services across our organization. This position involves tasks related to shipping, receiving, handling mail services, overseeing the distribution of office supplies and other site programs supported by Ancillary Services. Additionally, the role extends to offering support within the Corporate Real Estate team, and other corporate locations. The ideal candidate will be enthusiastic about facilitating efficient operations and will possess the ability to coordinate multiple services effectively.
YOUR ROLE IN THE GAME
Reporting to the Manager Ancillary Services, you will be empowered to:
Provide shipping and receiving function adhering to strict company standards to coordinate receipt and distribution of all goods (mail, courier packages, freight, and equipment)
Prepare and prioritize deliveries and customer supply orders to meet business needs.
Promote cost effective practices and operational efficiency
Monitor and manage inventory to prevent overstocking and underutilization. Distribute office stationery, support office programs within the department portfolio as well as comply with procurement guidelines
Troubleshoot and resolve issues that arise with hardware and software systems, such as electronic reception service support and web-based courier platforms, not supported by OLG’s IT department
Maintain electronic databases for tracking and reconciliation purposes, prepare statistical reports of budgetary spend, electronic reception services and internal support database
Maintain and support a clean and safe work environment in compliance with Fire Code and Occupational Health and Safety Act
Support Fire Evacuation emergency site protocol
Provide exceptional customer service with our internal clients and external vendors and follow-up with customers to ensure satisfaction with service provided
Provide backup support to Corporate Real Estate and Facilities Management team as required
WHAT YOU NEED TO PLAY
Work Experience: 3 to 5 years of experience in a similar role. Experience in business operations and software programs (Office 365, Outlook, PeopleSoft, Word, Excel, PowerPoint, Visio) and assorted inventory management and schedule databases. Experience in web-based systems (Purolator, FedEx, Xpresspost, Electronic reception), and familiarity with US Customs and International shipping regulations. Experience with warehouse equipment (lifting devices, pallet jacks, shrink wrapping and strapping of freight skids, dollies, flatbeds)
Education: College diploma in office administration or equivalent experience
