The Alumni & Engagement Assistant is a key member of the Alumni & Engagement team which is responsible for creating lasting connections with Mohawk College graduates and donors, keeping them engaged as partners, ambassadors, volunteers, supporters, mentors, and learners.
Reporting to the Director, Engagement & Stewardship, the Alumni & Engagement Assistant provides administrative, communications, logistical, and project support to the Alumni & Engagement Team, including activities involved with engagement and stewardship events, alumni outreach programs, engagement activities, volunteer and mentor initiatives, and website and social media development.
What you’ll be doing:
Alumni & Volunteer Engagement
- Coordinate and schedule qualification meetings, including calendar management, briefing material preparation, and follow-up tracking.
- Support the planning and execution of alumni engagement initiatives, including networking events, reunions, affinity gatherings, panels, and community-building activities, and signature events like Alumni of Distinction and Convocation.
- Assist in coordinating alumni volunteer opportunities such as mentorship programs, guest speaking, advisory committees, and event volunteers.
- Prepare volunteer briefing materials, schedules, and supporting documentation.
- Obtains required parking passes for events and meetings with external stakeholders.
- Support recognition efforts for alumni volunteers and donors, including thank-you communications and stewardship initiatives.
- Monitor and respond to alumni inquiries related to events, volunteering, and engagement opportunities.
- Conduct outreach to alumni to confirm participation in events, programs, and volunteer activities.
- Track and maintain records of alumni volunteer participation, interests, and engagement history within the CRM/database.
- Track alumni engagement metrics.
- Maintain and update the alumni database in a timely fashion, including researching and locating “lost” alumni through various tools and platforms.
Event & Program Support
- Coordinate and support event logistics for alumni and stewardship initiatives, including venue coordination, guest lists, registrations, materials preparation, on-site support, and post-event follow-up.
- Enter event registration, attendance, updated attendee contact information and email permission into the CRM/database.
- Support event-related communications including invitations, confirmations, reminders, and post-event follow-up messages.
- Maintain an annual alumni programming calendar aligned with engagement priorities and key college milestones.
- Assist in the selection and purchase of gifts/mementos to be used by the Advancement Unit for alumni, donor and prospect relations.
- Assist with programs related to alumni benefits, such as securing and updating Perks offerings, and assist with executing Affinity partner deliverables and communications.
- Assist with alumni contests and contact information acquisition campaigns.
Communications
- Monitor and manage Alumni inbox and phone line, responding to inquiries and triaging messages as appropriate.
- Support the development and execution of alumni communications, including email campaigns, newsletters, and event promotions.
- Maintain and manage the alumni communications calendar to ensure alignment with team priorities and institutional messaging.
- Assist with social media content creation, scheduling, monitoring, and engagement tracking.
- Monitor and update Advancement web pages.
- Assist with communications materials including event invitations, stewardship messaging, and impact updates.
- Gather and organize alumni stories, testimonials, and impact highlights for use in communications and stewardship materials.
- Execute mass mailings, mail merges, and email campaigns for alumni and stewardship related activities.
General
- Represent the Advancement team at College and Community events as required.
- Provide general administrative support to the Alumni & Stewardship Team as required.
- Order supplies, maintain stock, and keep track of inventory.
Other duties as assigned.
What you’ll bring to the role:
- 2-year diploma in a related field of study - Business Administration, Advertising, Marketing or Office Administration, or related field.
- 2 years of related work experience.
- Ability to multi-task in a fast-paced environment, cope with multiple deadlines and meet departmental priorities.
- Proficiency with various software programs such as Microsoft Office (Word, Excel, PowerPoint), Outlook, MailChimp, AK Raisin, Canva.
- Raiser’s Edge database training and experience. (Note: similar Database Management experience may be deemed equivalent).
- Ability to work under minimal supervision while utilizing effective time management skills in order to meet deadlines and adapt to changing priorities.
- Highly organized, proactive, and detail-oriented.
- Effective research skills.
- Professionalism and discretion with sensitive and confidential information.
- Strong written and verbal communications skills.
- Experience creating and posting content for Social Media.
- Valid driver’s license and access to a reliable vehicle.
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
