The department of Alumni Affairs and Development (AA&D) advances the mission of the University of Guelph by raising private support and building relationships with a broad range of stakeholders ranging from alumni and friends, to corporations and foundations. Working with the Manager, Events, the Advancement Events Coordinator will be responsible for all aspects of the events lifecycle. The Coordinator will be responsible for planning and executing events, both virtual and in-person. This will include working closely with team members to understand event goals, designing an exceptional event experience and ensuring flawless execution of events. Further, this role will be responsible for the setup of event plans in AA&D’s Cannon database and tracking deliverables to ensure all logistics are moving forward as planned. Additionally, this role will work in BBIS (Blackbaud Internet Solutions) to create the online registration systems for all events, track ongoing event registrations and match registrations with constituents in the database.
The incumbent must demonstrate strong technical skills and a keen eye for detail, as they will be required to test, schedule and deploy event communications (including invitations, follows ups, thank you communication) through a content management system, Luminate Online. Further, this role will be responsible for creating post-event surveys, and will work with the Manager, Events to understand feedback, and incorporate it to ensure a continuous improvement of the event experience.
This role will work closely with the Engagement Services team, as well as event leads across the department (especially Alumni Advancement Managers).
Requirements of the position include:
- College degree and some related experience in administration, event execution, public relations, communications or external relations, or an equivalent combination of education and experience
- Experience in the delivery of high-quality events geared towards encouraging relationships and developing engagement with constituent groups
- Experience with production of event and / or communications materials, including layout and design (preferred)
- Experience in managing complex logistics and multiple initiatives simultaneously
- Strong technical experience, and a willingness to become proficient at new systems
- Experience with Luminate Online (or equivalent content management system), Raisers Edge (or alternate customer relationship management system), or Blackbaud Internet Solutions (or equivalent) would be an asset
- A solid foundation in administrative skills, such as handling a wide variety of merge documents, ease in manipulating spreadsheets, ability to understand and organize survey feedback etc.
- Strong time management, planning skills, and decision-making abilities
- Ability to handle multiple tasks and competing priorities with a high level of accuracy
- Excellent communication skills (both verbal and written)
- Strong customer experience and service-oriented mindset
- Advanced computer skills as well as an ability to understand and operate on multiple technical platforms
