PRIMARY FUNCTION
Under the supervision of the Special Assistant to the Provost on Policy and Academic Affairs (Special Assistant) the Administrative Assistant, Policy & Academic Affairs is responsible for providing exemplary project and administrative support within the Policy and Academic Affairs unit in the Office of the Provost while maintaining confidentiality and discretion. This position ensures operational efficiency by working closely with the Special Assistant to the Provost on Policy and Academic Affairs and the Policy and Academic Affairs Specialist (Specialist), and provides backfill support for the Specialist, when required and as appropriate. Responsible for the day-to-day operation of the Policy and Academic Affairs unit, the incumbent is expected to exercise a high degree of diplomacy, tact, and good judgement and to possess exceptional customer service, organization, and communication skills.
EMPLOYER REQUIRED KNOWLEDGE SKILLS AND ABILITIES
- Demonstrated experience with administrative support in a post-secondary or Executive-level environment.
- Proven ability to handle confidential matters and materials with tact and discretion.
- Proven ability to compose standard forms of business communication such as memoranda, business correspondence, agendas, minutes of meetings, etc.
- Superior communication and presentation skills, including excellent oral and written skills, with demonstrated attention to detail.
- Excellent personal and professional management, organizational and decision-making skills.
- Proven ability to juggle and prioritize tasks, work to deadlines and demands, make responsible decisions and determine when to seek advice.
- Demonstrated ability to accurately record and transcribe meeting minutes.
- Proven ability to effectively manage and prioritize time in order to complete tasks, meet changing priorities, work to deadlines, and make responsible decisions while maintaining high levels of customer service in an administrative environment with multiple demands and frequent interruptions, make responsible decisions and determine when to seek advice.
- Knowledge of routine office systems and procedures, including standard filing systems, clerical control systems, record-keeping, etc.
- Demonstrated initiative, organizational, and decision-making skills.
- Demonstrated ability to work independently and as a team member.
- Demonstrated ability to perform advanced Microsoft Office and Internet applications.
- Ability to key 50 wpm with a high degree of accuracy.
- Knowledge of post-secondary governance and policy development systems is an asset.
- Ability to travel between campuses may be required.
- Flexible in scheduling as occasionally hours outside of regular work hours may be required.
EMPLOYER REQUIRED EDUCATION & EXPERIENCE
- A bachelor's degree plus a minimum 5 years administrative experience in a post-secondary or Executive-level environment
- Knowledge of BC and Canadian post-secondary education systems, governance structures and policy development.
- Administrative experience in the area of policy, administration or an equivalent combination of education, training, and experience.
