Your Opportunity
Stantec is looking for an enthusiastic, friendly and self-motivated Administrative Assistant to join our Waterloo Office. This role will be supporting our Community Development group with projects and proposals. As part of this role, you will also be coordinating Office Safety and Environment duties. The successful candidate will proactively work with the office manager and with the relevant project managers to provide the necessary administrative support.
Your Key Responsibilities
Administrative Responsibilities
- Provide fully qualified administrative support to projects and proposals
- Provide backup reception duties and coverage daily
- Organize, attend and record meeting minutes including the coordination and tracking of action items and deliverables
- Create and maintain project plans, schedules and deliverables
- Assist with document control including digital filing and archiving
Office Safety and Environment Coordinator (OSEC) Responsibilities
- Work with Management to maintain corporate HSSE (Health, Safety, Security Environment) policies including filing system, reporting and office inspections
- Travel to Kitchener lab/garage when necessary to conduct inspections
- Provide guidance to all Waterloo based staff on Stantec's Health & Safety Policy and practices:
+ Conduct HSSE Orientation for new and transferred employees
+ Act as a local resource for HSSE comments, suggestions, reporting, and compliance
+ Order, track and distribute Personal Protective Equipment (PPE)
+ File reports and assist (as needed) in investigations and corrective actions following an incident
Qualifications
Your Capabilities and Credentials
- Valid full Class G Driver’s License
- Excellent written and verbal communication skills
- Problem-solving and investigation skills
- Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments
- Must be proactive and willing to take initiative
- Able to operate independently in a fast-paced, multi-disciplinary environment
- Ability to self-educate by reading regulations and guidelines
- Able to work with diverse teams and people, including Management
- Excellent computer skills – MS Office
- Experience in the consulting industry would be an asset
Education and Experience
High school diploma or equivalent with 0-3 years of experience in an administrative support role or related experience
