Your Opportunity

Our Environmental Services group is looking for an Administrative Assistant, to provide support with the day to day requirements of a multi-office group. You will be reporting directly to the Team Lead and working closely with Project Managers. The ideal candidate will have strong Microsoft Word Skills experience in document layout, and composition. The selected candidate can be located in any of our locations in Ontario: Ottawa, London, Markham, Stoney Creek, or Waterloo.

Your Key Responsibilities

  • Formatting and processing of correspondence, reports, letters, memoranda, forms and templates
  • Provide support to the project managers with business development pursuits including preparation of presentations to clients and preparation of proposals
  • Support the project managers by providing review of report deliverables to clients and coordination of submission of deliverables
  • Preparing, formatting and using excel spreadsheets and databases
  • Creating and maintaining internal filing systems
  • Coordinating print jobs
  • Coordinating agendas, meetings, and special events
  • Supporting conformance with company policies, procedures and ISO-certified Integrated Management System
  • Attends and provides meeting minutes including tracking of action items and deliverables
  • Coordinates travel itineraries and arrangements
  • Perform other administrative duties, and tasks as required for this role

Qualifications

Your Capabilities and Credentials

  • Strong work ethic and excellent organizational skills.
  • Extensive/recent experience with formatting of Microsoft Word 365 and Adobe documents (skill level will be evaluated with a practical test)
  • Advanced practical experience in other computer applications (e.g. Microsoft Excel, Outlook, Adobe Reader/Writer, Project and PowerPoint)
  • Detail-focused individual, who has the ability to learn and adapt quickly
  • Demonstrated time management skills with the ability to prioritize and meet deadlines in a fast pace working environment
  • Versatility, flexibility and willingness to work within frequently changing priorities
  • Strong written and oral communication skills
  • Enjoys working independently and within a team

Education and Experience

Minimum of 2 years of post-secondary administrative education or equivalent.
