POSITION OVERVIEW
The incumbent is responsible for maintaining effective relationships with both internal and external contacts to ensure smooth information flow and coordination. This role involves managing governance-related knowledge, including policies and procedures, and ensuring the timely processing of various authorizations and documents. Additionally, this person will handle the tracking and storage of important documents, update client data, manage user accounts in relevant systems, and assist with data collection and governance document updates.
CHALLENGES TO BE MET
Establish and maintain relationships with BDC employees and external contacts to ensure continuous information dissemination and coordination and promote the department’s positive image.
Maintain comprehensive knowledge of all governance impacting BDC Capital, including policies, directives, and procedures, with a particular focus on Delegation of Authority and AML/KYC
Minimize BDC’s risk exposure by ensuring timely processing of authorizations, amendments, and disbursements according to established policies/directives/procedures. Coordinate with the Finance back-office for end-of-month/quarter document submissions.
Track, control, and store original and legal documents related to venture capital transactions both physically and electronically. This includes authorizations, amendments, share certificates, legal closings, and other documentation. Perform periodic reconciliation of legal documents and share certificates received.
Update venture capital client data in the VC information system, including rounds of financing and cap tables.
Administer BDC Capital’s information systems by managing internal and external user accounts in iLEVEL portfolio monitoring and Affinity CRM systems.
Participate in periodic data collection for iLEVEL entries, such as quarterly asset creation for new underlying companies within our fund investments.
Assist in updating governance documents, mainly the Terms of Reference for various BDC Capital committees.
WHAT WE'RE LOOKING FOR
Bachelor's degree, certificate in business administration or a relevant field and three to five years of relevant experience.
Excellent organizational skills, ability to prioritize and multi-task.
Ability to work independently with initiative and judgment in assessing priorities.
Ability to work under pressure and meet deadlines.
Ability to exercise discretion and professionalism in sensitive situations and maintain an appropriate level of confidentiality.
Excellent interpersonal, written, and oral communication skills (in French and English) is required.
Proficient in Microsoft Office software suite (Word, Excel and PowerPoint).
