POSITION OVERVIEW
In this role, the coordinator will provide high-level support to the Events and Sponsorships, Field marketing and Partnerships teams. Main responsibilities will include performing administrative and logistical tasks including, but not limited to, the maintenance of various documents, assisting in the establishment of efficient databases, providing quality customer service, and supporting management by establishing projects workflow, ensuring various follow-up tasks and coordinating agendas.
CHALLENGES TO BE MET
Integrate BDC's internal purchasing rules (procurement) and provide support to the extended Marketing-Communications team to excel in policy compliance, decision making and execution.
Maintain and update database of contracts and anticipate future needs and renewals.
Organize complex meetings (e.g. multiple stakeholders, time zone differences, external guests, staffing interviews, etc.).
Work closely with the Coordinator, Marketing Operations, to support Marketing Operations activities and key administrative tasks.
Actively participate in the onboarding of new employees to the team, including scheduling orientation meetings and distributing reference materials (e.g. service offering, org charts, yearly marketing plan).
Coordinate certain details of speaking opportunities and writing projects, including logistics and creation of projects briefs.
Complete data entry in certain platforms (e.g. EPM, Marcom Calendar, Sponsorium, Speakers Bureau, SharePoint sites, etc.).
Integrate BDC's internal rules regarding travel and business expenses and provide support to the extended Marketing-Communications team with the management of invoices, IT and office services-related requests.
Coordinate the reservation and distribution of corporate event tickets for head office and other key activities for our team members.
Ensure that the team is aware of the marketing tools at their disposal and leverages them properly, in compliance with BDC’s brand standards and Directives.
Get involved in projects by learning more about ongoing activities and being proactive in taking charge. as identified by the Leaders and Marketing Advisors.
Provide monthly budget-tracking support to manage national and regional marketing budgets.
WHAT WE ARE LOOKING FOR
Degree/diploma in Marketing, Communications, or related field.
3 years of experience in B2B marketing and communications.
Vocational or college diploma (DEP or DEC) in office techniques.
Good knowledge of the Microsoft 365 environment (Teams, Word, Excel, PowerPoint, SharePoint, OneNote, etc.
Project management and organizational skills with proven ability to multi-task while still maintaining a high level of accuracy and attention to detail.
Ability to work in a fast-paced environment with minimal supervision.
Familiarity with digital marketing tools and platforms is a plus.
Strong customer service focus and team player.
Excellent written and communication skills (French/English).
Tact, diplomacy and discretion.
